Firstly, apologies for the very late delivery of this. I was convinced
I'd already sent it.

It's worth pointing out (as someone kindly did to me) that Jakob Nielsen
has produced an article on this subject. We purchased his report, and I
think it's very good.

We looked at how much of the 'from name' and 'from address' would appear
in different email clients, and the current proposal is to go with

- for servicing emails
British Airways Customer Services
<[log in to unmask]>


- for marketing
British Airways <[log in to unmask]
(this is a legal requirement)

Executive Club servicing will be
British Airways Executive Club <[log in to unmask]>

Executive Club Marketing will be

We're also generating appropriate rules for the subject line.


My original question

New EU/UK ecommerce regulations require that recipients of emails are
able to tell who they are from, and to distinguish between marketing and
servicing emails before they open them.

The main relevant header fields of emails are the *subject*,
the *from name*, and the *from address*. Email programs will generally
allow you to specify the *from* field in the format

In this case 'Nick Gassman' is the *from name*, and
[log in to unmask] is the *from address*. Most email clients will
then give prominence to the *from name* in the inbox, but display the
*from address* if it is not there.

Where we're at is to say that the *from name* of servicing emails could
be e.g. 'British Airways Servicing', while marketing emails would just
be from 'British Airways'. We are also saying that the *subject* must be
clear about the subject matter, such as 'BA special offers from 50
pounds', or 'Your BA booking details to Paris'.

What I'd like some comment on is whether, if you have 'British Airways'
in the *from name*, is it also desirable to have 'British Airways' or
'BA' or 'ba.com' in the subject?

One view is that if people get special offers from a number of
companies, it's irritating to get a *subject* list that just says
'special offers', and to have to check the *from name* or *from address*
to find out who each email is from. The alternative view is that people
tend to check both fields pretty much anyway, and not including the
company name in the subject line makes it shorter and more snappy.

For the sake of completeness I'd also mention that we're mandating that
each *from name* must have a valid *from address* uniquely associated
with it. The *reply-to* field though, can be dictated by operational
needs, and could potentially be the same for all.

Mary Deaton suggested, quite rightly, 'ask your users'. However, in
constrined circumstances it's not always possible, and sometimes we just
need to do a quick check. That's the value of this group.

Hello Nick

I have a strong feeling (not based on actual observation, though) that
people look at both name and subject to determine relevancy and urgency
before opening the email. If both are clearly visible, as I suspect is
the
case with most email programs, then I wouldn't bother with including the
sender name in the subject as well.

Hi there,

I would tend towards a subject line for the email of the following type:
"Latest from British Airways" or "British Airways news".

As a user I receive a lot of these types of emails - what I want to
know when I get them is what the email is about and who it is from - if
both content items are in the email subject I don't have to look for
them anywhere else - if I then wish to verify then the 'from' address
is a good place to check straight away.

I have not used the words 'special' or 'offer' in my suggestions above
specifically because these are both picked up (especially in the
configuration 'special offers' by a lot of spam filters these days and
the last thing that you want is to have (Spam?) on the front of your
message!

Considering email programs with which I am familiar (Eudora and MS
Outlook), I would require "British Airways" only in the "From" field,
and
not require it in the "Subject" line. Reasoning:

1. This reduces visual clutter.
2. Subject lines can be too long to view as it is. Adding redundant
information only makes them longer, and may push essential info out of
view
due to limited screen real estate.

Great topic!
Something to consider here is that on PDA and phone e-mail programs that
have limited space a user often gets only 1 option for a field (from or
subject) but usually not both.
