The Preliminary ACM Approval Form for the womENcourge Celebration to the ACM HQ. The link can be found here: https://cms.acm.org/tmrf/cms_paf.cfm In order to complete the form, you need information such as names and email addresses for the Conference Chair, Program Chair and Treasurer with their ACM membership number.
I love the logo. It is great to have it already. Please note that the lettering for womENcourage must be lower case except for the letters EN which should be uppercase.
As many have said we must follow the branding of the name womENcourage, but even so I love the logo.

This is an introduction of the two womENcourage teams for 2021 and 2022. With the introduction I would encourage the 2021 team to invite the 2022 team to join their efforts in organizing 2021. With this collaboration we gain experience and knowledge.
Bara Buhnova and Olga Maximova are the Chairs of womENcourage 2021 in Prague, they are respectively co founders and members of Czechitas who will host the event.
Our team would be happy to engage with the 2021 organisational aspects. It looks like you have done a great job so far and any experience we can gain is highly appreciated.
We can set up a Teams meeting if it is convenient to chat more about this.

Thanks for the great start on the letter. I’ve done some additional edits and I’m very happy with it. Among my edits, I thought important to suggest they do a doodle poll to fix the date, as before it was a bit open ended. With so many people involved, it will require a bit of coordination, especially as term is soon to start at various universities.
I think it is a good letter so I only made one tiny change. This is also a good reminder to update the 'Lessons Learned Template.' Which we will copy for both of the new groups. As always update any section with additional information that you feel may help future organising committees.

Agreed, it is best to put it into the email from the beginning. The Timeline and Guidebook held in the template link is the generic one. It can be copied directly for the next host. The only comment is that when you get the registration summary, the only options are cancel or next. If you detect some error, it is not possible to go to the previous page for corrections, so it seems you need to start a new registration.
Maybe the wording should reflect that unfortunately we are unable to ship them? However, part of me thinks that this is creating an inequality of experience amongst participants, and perhaps a better solution would be just ordering the t-shirts for the local organising team (who would still have to go and collect them from ADA Uni). In that case, I would ask for the t-shirt sizes only if the participant is local (rather than to everyone, and then make them feel they are missing out on something). What do you think Araz?
I think if someone puts in the effort to go to Baku in the next year, they should get a t-shirt. But that should be very clear.
And I also believe that the entire organizing team should get shirts. Not just Local, so we either ship them, which we have added to the budget. Or have someone who goes pick them up and bring back to Europe for us.

I found two things that will be taken care of by CVENT but haven't replied yet.
1. Non-member profession is asking for student id card too 2. There is an extra receipt ticket at the end which I have no idea about the meaning.
I'm trying to register as ACM member but the system is asking me as mandatory to add a proof of student status !!?? I can not pass to the next page.
In addition, I'm curious about asking for T-shirt size. Being an online event, will the organizers mail t-shirts to the participants?

We had a final look at the womENcourage 2020 budget put into the ACM template - during the yesterday's call. Please see it attached and kindly review - before I send it to ACM headquarters for further processing - I guess it is the next step, isn't it?
The normal procedure would be for Ruth to send it to ACM headquarters, and she can arrange a meeting for you and her to gain approval.
If she does not mind, you can send it and arrange the meeting.
I still have concern that we have a negative in the bottom line. I would take another 1000 out of the site visit costs. And prepare how to defend your registration numbers.
* We discussed the matter of 'Committee travel' and 'Contingency' lines that roughly balance each-other. Ruth believes we need to keep the lines at least. * Totally fine if Ruth sends it - I don't know the details of the process anyway - our expenditure numbers are somehow pessimistic, so it may decrease. Unusual event format makes predictions hard. * Defend the registration numbers? I guess we won't know the real situation until we are two weeks into the registration period.

Due to minor structural changes to the ACM-W Europe Executive Committee roles I have had to rename the womENcourage Steering Committee folder. Previously named 'Celebrations Steering Committee' I have renamed it 'womENcourage Steering Committee'. This was done due to new Regional requirements. We have a Celebrations Chair which will focus on supporting regional celebrations. I do not want them mixed up with the work of our womENcourage event which is our flagship event. Both are still working groups of the ACM-W Europe. Sorry for the inconvenience.

My suggestion at this point is to send both an email and ask them to continue working on their proposals with the full call documents. We need to inform Prague, that if Araz would like to hold next year, we might need to push thiers out to 2022.
I don't think that we made a final decision so we must send the same message to both. We can say that we recommend that you consider a national event for now and to keep working on your proposal for the next available date. We should also add a statement indicating that Azerbaijan may host the next physical event.
I agree, I will draft an email and send it around for review.
We indicated that we would have an answer on the call by 15th, just want to be proactive to make sure both get some information before the 15th.
Hopefully by the time we get the full proposals we will know if Azerbaijan will host in 2021. Additionally we can offer to hold a call with both for development of the proposals.

I want to see if we could pre-book the accommodation for Baku for the womencourage visit and the associated ACM-W Europe meetings. I only want to get an idea of possible dates and times. We may be able to pre-book the steering committee group flights and accommodation which would be a great help. Booking flights early may help with costs.

Looking for a "simple" option, I doubt between tourism or education when I was filling the visa form. Finally I wrote "education" and I got the visa without any additional questions. Hope this helps.

Thanks for clarification. I believe, we need to clearly understand division of work between local and international team. Our understanding was that the ISC will deal with traditional international sponsors, while the local team will work with the local sponsors. What is the strategy here?
The steering committee are advisors, you need to appoint supporter chairs for both domestic and international support.
I am happy to help with getting you up and running but until now no one has even requested help. Do you have a supporter chair?

Ruth, Adriana, Dorota, Bev, Nuria, and Rukiye will attend. We have rooms reserved in the Boulevard Hotel Baku as recommended by the original application. All of us will be ready for a meeting on Saturday starting at 9AM, several will need to leave on the 13:45 Sunday Turkish Airlines flight, So we could have meetings from 9 until 12 on Sunday with a taxi direct to the airport.
Marcia asked if everyone wants a king bed or two twin room. Please speak up if you do not want a king.
Additionally it looks like the rooms are very reasonable so if you have to stay an extra night to get a better or more reasonable flight then please do so.
I will arrive in the night of the 20th and will return on Monday 24th so I do not feel like I have to rush out at noon on Sunday.
After looking at the current flights and schedules in the spreadsheet, and after talking to Ruth, it is decided we will travel directly to Baku sometime on the 21st of February, with the intention of meeting on the 22nd at 9AM with the organizing team. Please book the most direct flights and reasonable flights to Baku.

20 January is the Day of Mourning and National Pride commemorating 1990 soviet troops attack in Baku, and our Spring 2020 classes start right after on 21 January, so it will be busy. However the local team aims to meet on Thursday, 23 January, and we may need to consult with you afterwards - next week.
The steering committee monthly meeting is on Monday the 21st at 16 CET.
It would be nice if we could have an update on the status of the organizing team.
I have not seen an invite for the organizing team meeting, would like to know when it will occur and to get an update on the timeline and program plans.

However, from your e-mail, I understand you would like to create new mailing lists specifically for 2020?
Our goal for the mailing lists is to avoid a terrible confusion that occurred last year. One mailing list (tutorials) was left in the website but the wrong emails were listed, needless to say the new chairs did not receive the tutorial submissions and they were not considered for the event. The authors never received information and we did not even know who sent anything until they came back to us.
Ruth has arranged to talk to me with the general ACM-W Europe mailing lists tomorrow.
For, womENcourage, I think your suggestion is good for avoiding confusion indeed. but also we would need to provide the e-mail addresses that should be registered under each mailing list. I can update the document we have with the new suggested mailing list names, and then tell Marcia to create those (I cannot create them, it was Marcia who created them before), and delete the older ones to avoid any confusion/mix-up.
We can create the mailing lists as soon as I have the details from Araz.
Is it ok if I give him access to see so he knows what is needed.

We are still missing some of the people for the womENcourage list, but the SC list is good. I hope they will have the womENcourage list soon. I would go ahead and have Marcia implement everything but the lists that have no one.

The steering committee has updated this version for October, November and December, and parts of January. We will continue to collate the information to complete the months in advance of what you need the information.
I just noticed that the lessons learned document is in the womENcourage 2018 folder, I believe we should move all the drafts to the Steering Committee folder and make the current version available on the 2020 drive, thereby only editing on the 2020 until it is complete and then saving a version on the SC folder.
Simple reminder that we have a steering committee meeting next Monday 18th November.

From the original budget (Budget Separated) we had €22,045 available. At the final spend we have €21,700 spent on scholarships. Bev, can you check if you agree with my figures? The cash payment we are going to make is €16,500 without the registration fees. Based on the people with scholarships who signed or who registered on CVENT we have 43 local, 50 remote and 11 sigchi or other scholarships. If students did not sign and did not register on CVENT then they have been marked absent and will not be paid as is normal.
I need to know how many scholarships we need to pay for the budget. I knew we might have some that did not attend or not marked as a participant. So I started with the stack of badges that were not picked up, I compared these with the registration and removed any badges where the people were marked attended.

Bev, I will be presenting at the AMC Europe Council meeting on Tue morning and will include budget and event information.

To continue the good coverage we had during Rome, I would like to conclude September with participant evaluations from Rome and the announcement of womENcourage 2020 on social media.
Could you provide a pointer to what information could we use? This would also be essential for the newsletter next month.
Also, I remember Reyyan mentioning the womENcourage summary report? Could you let me know who is responsible for that?

Hello, I've taken a look at the feedback, and I think for a blog post, we would need to deeper analysis, and have a section on what we could improve on. There are some very positive and also negative comments on organisation, conflicting remarks about "great food" and "not enough food" etc. But, I pulled the comments, normalised the text, and did a wordcloud (Attached) which I am happy to share on social media. As I said, the blog post would need more work. What do you think?
Dear Cigdem, I think the wordcloud is great :) About the food: people did not come out to eat at the same time due to parallel events and that might be the reason for conflicting feedback. Best wishes. Reyyan

I noticed this and on the last day I went out to eat at 1PM and the buffet was closing down even though it was opened at 12:30. I asked the chef what is going on and he said he served 300 people, well there were not 300 people there on that day.
Such a good idea Reyyan, I think this should be our goal, that everyone Is assigned and then it just comes together.

No one who attended that workshop was fed at all. I was told they fed 300 people too. Araz was at another talk or workshop and they also were not fed. It would have been a lot of people.

Hello Bev, Reyyan, all, These problems do happen. Organising events are difficult. The planned "evaluation" blog post can start with the word cloud, and then have quotes from the participants. For the areas where improvements were suggested, maybe we can use sth. we used to when I was working at a university: To acknowledge the requests for improvements, we had: You said: " " and We will: " " or We did: "" Maybe we can have such a thing. I will draft a template and share the link, and then, Bev, can you fill in the gaps?
