I have already prepared the agenda with some updates. Please, meet anyway and update the information that I left marked in yellow. I will read the minutes.
I see that the Workshop Proposals deadline was on 3 June and the Notification of Accepted Posters date was yesterday. How did it go? How many workshop proposals were submitted? How many posters were submitted and how many were accepted?
The workshops chairs are reviewing the workshop proposals – we had 5 or 6 submissions, I believe 4 will be accepted but I will confirm with the workshops chairs in our meeting today.
For posters we ended up having close to 40 submissions with about 34-35 being accepted. Notifications are sent to authors and they will start preparing their posters and videos now.
I spoke with the director of FreeBSD this morning, she will be submitting a workshop in the next few days. It will be focused on how to get started in open source software.
I propose we give her a table for talking about open source at the career fair as that could be of interest to the students. They cannot pay anything as they are also a non-profit, but perhaps they could contribute a prize for hackathon or small gifts for evaluation raffle at the end of the event (t shirts or something).

Given the time we were all away for the break, we didn't have a chance to coordinate with the chairs and we are just beginning to get back into the organisation again. Therefore, I am suggesting that the January meeting takes place at the end of the month. In the meantime, I will communicate with the chairs and update the January report (the December report has been uploaded on the drive already) on the Drive before our meeting.
I noticed that the slots in the doodle pool are only 15 minutes long. I would suggest reserving half an hour. I don't mind to click on those slots, but having in mind that maybe next 15 minutes will be needed.
Please, upload on the drive the January report when available.
Hi Nuria, my apologies about the 15 minute slots. I will extend them. I was actually going for 45 minutes but when I moved them I must have decreased the length by mistake.

I would like to update the Lessons Learnt with our new recommendations for the programme and I wonder whether to edit the ones sent by Olga directly or perhaps we would like to make them a new template for the Lessons Learnt document.

EoI submission will be on June 17 and notification of success will be on June 25.
For reviewing, the Process details says: "Each EoI will be reviewed by the womENcourage Steering Committee and followed up by a conference call to discuss the proposal.". Maybe just one week will be quite short to review the proposals and organise conference calls with all the candidates (of course, depending on the number of candidates, it will more or less easy).

I had a similar problem with my university email address last summer -- I'm cc'ing Cigdem who helped me with changing the email address.

As agreed, I am sending an email for a follow up meeting for the organisation of womENcourage 2022, just to allow for an update and also for a chance to discuss any questions after going through the “lessons learned” from previous organisations of the event.
we hope you had a wonderful Christmas break and time to reflect and rest.
We enclose our budget proposal for the hybrid version of our conference. It would be great to have your thoughts on it during our call on the 22 January 2021 - or earlier if you wish.
Once we have the budget approved we will start work on the approval form. Ruth, would it please be possible for you to schedule a 30 min call with us some time in February in case we need some more guidance with this?

The Preliminary ACM Approval Form for the womENcourge Celebration to the ACM HQ. The link can be found here: https://cms.acm.org/tmrf/cms_paf.cfm In order to complete the form, you need information such as names and email addresses for the Conference Chair, Program Chair and Treasurer with their ACM membership number.
I love the logo. It is great to have it already. Please note that the lettering for womENcourage must be lower case except for the letters EN which should be uppercase.
As many have said we must follow the branding of the name womENcourage, but even so I love the logo.

This is an introduction of the two womENcourage teams for 2021 and 2022. With the introduction I would encourage the 2021 team to invite the 2022 team to join their efforts in organizing 2021. With this collaboration we gain experience and knowledge.
Bara Buhnova and Olga Maximova are the Chairs of womENcourage 2021 in Prague, they are respectively co founders and members of Czechitas who will host the event.
Our team would be happy to engage with the 2021 organisational aspects. It looks like you have done a great job so far and any experience we can gain is highly appreciated.
We can set up a Teams meeting if it is convenient to chat more about this.
