We hope you are safe and healthy, enjoying the arrival of Summer.
We are sending a report on our womENcourage 2021 conference preparations. The key aspects of the past month were:
Conference (General) Chairs
Currently working with the external partner Guarant on the online platform- testing and reviewing. Supporting our teams - finalising and closing the deals with supporters, helping with publicity, testing registrations, filling the program.
With the start of the registration on June 1, we also started announcing the keynote speakers. The list of published ones is at https://womencourage.acm.org/2021/keynotes-and-panels/ and we are announcing them also in the dedicated slack channel #keynotes-panels-roundtables.
On June 1, we notified the authors of accepted posters. Overall, 28 high-quality posters have been accepted to appear in the program and contribute actively to the program. The acceptance letter included an information about Scholarship application data (June 10).
Workshop and Tutorial Chairs
On June 1, we notified the authors of accepted workshops and tutorials. Overall, we will have 3 workshops and 4 tutorials, all short (90 minutes). Enrollment to the workshops with limited capacity will be opened on July 27, and all registered participants invited to enroll after July 20, which is the early registration date.
Career Fair Chair(s)
We are now starting the virtualization platform where each partner will have their space to upload material, videos, and engage in text chat and 1on1 video chat with the participants. Additional group video chat link can be inserted in the platform by the company if they prefer group video chat.
Hackathon timeline was finalized. Registration to hackathon will be organized with a separate registration form. The registered participants will be prompted and encouraged to register for the hackathon after July 20, which is the early registration date.
On June 10, there was the scholarship application deadline, 26 participants applied for scholarships. The number is likely influenced by the fact that the registration fee is very low this year.
Local Arrangements Chair
Participation engagement is being designed. We like the idea of a Kahoot game - a little “Did you know” test or something along those lines.
Registrations opened on June 1 - information published on our social media and the Publicity chair will coordinate the publishing plan with everyone helping with this agenda.
We are about to do publicity around Thank You to our Supporters and definitely more about keynote speakers.
The information about the conference is heavily communicated on different events, e.g. this week with 9 initiatives engaging women in tech across Europe and the EUGAIN network (https://eugain.eu/).
Negotiating with SAP and Accenture. If they support us, this part of the conference preparations will be very successful.
Registration and Virtualization Chair
Registrations are open and first attendees are registering. Virtualisation platform is being setup at the moment. We have prepared some initial videos about using the platform for the organizing team, which will be shared with the team soon.
Budget up to date, no major concerns now.
